How Does Stopping of the flow of an Email Occur in Outlook & How Can We Solve the Problem?

Multiple reasons are responsible for the stopping of the outlook emails and to assist the end-user who is facing this problem, the article “ How Does Stopping of the flow of an Email Occur in Outlook & How Can We Solve the Problem?” is thoroughly researched, planned and then written here.

Causes for the stopping of the Emails:

  1. Wrong/changed entering of passwords or incorrect setting
  2. Large Attachment Files.
  3. Viewing an Outbox while the emails are awaited to be sent.
  4. Improper authentication of account with server.
  5. No any email with default setting.
  6. Outlook and email server both are at off-line mode.
  7. If antivirus or antispam application is scanning user's outgoing emails.
  8. Sometime due to the uses of applications which retrieve and restore outlook emails (.ost or .pst).
(A)  Wrong/changed entering of password or incorrect setting:
User should verify the password and if he has changed the password of his mail account e.g. Outlook.com, Gmail, then he should change his account password in outlook.
1. Follow the Path: File—Info--Account settings—Account settings

2. In the dialog window of the Account Settings select account where you want to change the password and then click on the Change option.

3. Then type new password in the related field, click next and then user will be done with all the process.

(B)  Large Attachment of Files:

For this situation there are two ways:
  1. Delete the stuck email, for this follow the path:
    Go To--Send/Receive--Click Work Off-Line,
    Then,
switch to the following path: Switch to Outbox --Right-Click Message--Select Delete.

  2. Resize the Attachments, for this:
Set Outlook in the Offline mode--navigate to Outbox folder--drag the stuck message to Drafts folder and then edits.
OR
right-click email--select Move from context menu--Select choose Other Folder--&
then to Drafts.

(C)  Viewing an Outbox while the emails are awaited to be sent:
If user opens his e-mail message, which is in the process of being sent, such sort of an e-mail will be marked as read Message i.e., marked as read icon and will not go. If the title of the message will not be shown in bold, then that will be the most evident symptom for the stopping of the email.
This is caused by a number of Outlook add-ins, such as: Social Connector add-in, Xobni, Business Contact Manager (BCM), iCoud add-in, iTunes Outlook Addin, and many more but disabling the add-ins will not properly solve the problem.
The perfect way to send an stuck email is to drag the stuck email from Outbox to any other folder, follow the path:
to Drafts--go to that folder--open the email--click the Send button.

(D)  Improper authentication of account with server. For this user should check the setting of his email account by these ways:
1.For Outlook 2010 and 2013: go to the file tab--click account setting--click account settings.
For Outlook 2007: navigate tools menu--account settings--email
For Outlook 2003: head over to tools--email accounts--View or Change existing accounts.

2.Then Double click on Account, and then click Tools menu--Account Settings—Emails.

3.Then user can switch to the Outgoing server tab.

On the advance tab-- check outgoing server port number is correct or not.
For SMTP accounts usually port 25 is preferred to use.

(E)  No any email with default setting

In this situation the user can reply to emails but he can't send the newly created messages.

Possible reason for this can be configuring email account by using a pre-configured script.

(F)  Outlook and email server both are at off-line mode: For this situation user should try to check the Status Bar at the bottom right-hand corner of the Outlook window.
For off-line user notification appears on the outlook status bar: “Working Off-line”

For being connected again follow the sequence: go to the send/receive tab—preference group—click the work off-line button to toggle it off-- it will bring you back online.

(G)  If antivirus or antispam application is scanning user's outgoing emails: For this user should check the website of antivirus manufacturer's website and also he can try setting of timeout by following sequence: Account Settings—More Settings—Advanced Tabs.

(H)  Sometime due to the uses of applications which retrieve and restore outlook emails (.ost or .pst): To sort out this problem follow following steps:
    1. Close Outlook.
    2. Use task manager to check that, there are no any dependent outlook.exe processes exist.

Hence all the issues of the users will be sorted out effectively in a user-friendly manner.
